Introduction

ZenOp ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our AI receptionist service.

Information We Collect

We collect information that you provide directly to us, including:

  • Account information (name, email, phone number, business details)
  • Call recordings and transcripts
  • Payment information (processed securely via Stripe)

If you connect your Google Calendar, we also access limited Google user data as described in the Google API Services Disclosure section below. Google user data is governed exclusively by that section and is not used for any of the general purposes listed elsewhere in this policy.

How We Use Your Information

We use the information we collect (excluding Google user data, which is governed solely by the Google API Services Disclosure section below) to:

  • Provide and improve our AI receptionist service
  • Process calls and book appointments on your behalf
  • Send you notifications about calls and leads
  • Process payments and manage your subscription
  • Provide customer support

Google API Services Disclosure

ZenOp's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

What Google data we access and why:

  • Check availability: We read your Google Calendar "Free/Busy" status to ensure our AI receptionist does not double-book your schedule.
  • Manage events: We create, edit, or delete only those calendar events that are scheduled or managed through the ZenOp AI receptionist service.
  • Verify your identity: We access your Google account email address to confirm which account is connected and display it in your dashboard.

How we store and protect your Google data:

Your Google Calendar OAuth tokens are stored encrypted in our database hosted on Google Cloud Platform. We do not store the contents of your calendar events — we only read availability in real time and create or manage events on your behalf. All data is encrypted in transit (TLS) and at rest.

How to revoke access:

You can disconnect your Google Calendar at any time from your ZenOp dashboard under Settings. You can also revoke ZenOp's access directly from your Google Account permissions page. When you disconnect, we delete your stored OAuth tokens and stop all calendar access immediately.

Google User Data Retention and Deletion

  • We retain your Google OAuth credentials and Google account email address only for as long as your ZenOp account is active and your Google Calendar remains connected.
  • We do not store the contents of your calendar events. Availability is checked in real time and is not cached or retained.
  • User-initiated disconnection: When you disconnect your Google Calendar from the ZenOp dashboard, your OAuth tokens are immediately revoked with Google and permanently deleted from our systems.
  • Account cancellation or deletion: When your ZenOp account is cancelled or deleted, your Google OAuth tokens are revoked with Google and permanently deleted from our systems within 30 days.
  • Revocation from Google: If you revoke ZenOp's access from your Google Account permissions page, we automatically detect the revocation and remove your stored credentials.
  • Deletion requests: You may request deletion of your Google data at any time by contacting us at privacy@thezenop.com. We will process deletion requests within 30 days.

What we do NOT do with your Google data:

  • We do not use your Google data for advertising or retargeting.
  • We do not sell, rent, or share your Google data with third parties, data brokers, or information resellers.
  • We do not allow humans to read your Google data unless you have given affirmative consent, it is necessary for security purposes, or it is required by law.
  • We do not use your Google data for any purpose other than providing the scheduling features you requested.

SMS Privacy Policy

No mobile opt-in data will be shared with third parties.

ZenOp respects your privacy regarding SMS and text messaging communications. All text messaging originator opt-in data and consent information will not be shared with any third parties, except as required to provide the messaging service or comply with applicable law.

You may opt out of SMS communications at any time by replying STOP to any message. Message frequency may vary. Message and data rates may apply. For help, reply HELP or contact us at support@thezenop.com.

Data Security

We implement industry-standard security measures to protect your data. All data is encrypted in transit and at rest. We use Google Cloud Platform for hosting, which maintains SOC 2 compliance and other security certifications.
